Information we use

Society Platform uses your name and verified mobile number for account sign-in and society membership. Depending on the features you use, the service also stores society membership and home links, maintenance invoices and payment records, transaction references and payment proof images, complaints and complaint updates, notices, directory contacts you are authorized to publish, privacy choices, and security/audit records.

Why we use it

We use this information to authenticate accounts, operate your society membership, show dues and payment history, verify payments, issue receipts, manage complaints and community information, protect society boundaries, respond to data requests, and keep the service secure.

Firebase installation and optional phone alerts

The Android app includes Firebase Cloud Messaging. Firebase Installations automatically creates and processes a per-installation Firebase installation ID used to provide Firebase messaging functionality. Firebase also processes related app/SDK information for that service. Society Platform does not use these Firebase installation identifiers for advertising or behavioral profiling.

If you choose to enable phone alerts, the app also obtains the native Firebase Cloud Messaging registration token and associates it with your signed-in Society Platform account so the service can route the society updates you opted to receive. Disabling phone alerts unregisters that account-linked token for Society Platform delivery; disabled device registrations are pruned, and completed account deletion removes the account-linked push-device registrations. The separate Firebase installation ID follows the Firebase/app-installation lifecycle and is not represented as a Society Platform account identifier.

Community safety

Complaint messages are subject to Community Rules. The service stores rules acceptance, member content reports and member-block preferences so users can report or hide another member’s content and authorized society administrators can review reports and remove violating content from member views. Moderation actions are recorded for security and abuse-prevention purposes.

Photos, camera and files

For payment proof, you can either select an existing image through the Android system image picker or deliberately choose Take photo. Camera permission is requested only at that moment for the photo you choose to capture; the app does not use the camera in the background. Selecting an existing image does not require broad photo-library access. Authorized society managers can also select a society logo through the system picker. The app does not request access to your contacts, precise or approximate location, advertising ID, microphone, biometrics, or broad photo-library/storage access. Society logos are visible to society users as configured; payment proofs are private and role-protected.

Community sponsorships

Optional community sponsorships are small, contextual and frequency-limited. They use account, society, campaign and display-time records only to enforce display limits. We do not use an advertising network or share resident profiles with sponsors. Sponsorships are disabled on authentication, payments, receipts, complaints, privacy/profile and administration forms.

Service providers

We use infrastructure and communications service providers to host the application, database and files, deliver verification messages, and provide Firebase messaging/optional phone notifications. They process information on our behalf to provide those services. We do not sell personal data.

Security and retention

Traffic is encrypted in transit. Access is scoped by society membership and role. Sensitive payment files are private. Data is retained while needed to provide the service, protect accounts, support society accounting and disputes, and meet legitimate legal or security obligations. Temporary sponsorship-frequency records are pruned after 30 days, disabled Society Platform push-device registrations after 90 days, OTP challenges after expiry, and prepared data exports after seven days. Firebase installation identifiers follow the Firebase/app-installation lifecycle.

Your choices and deletion

Inside the app you can view an account data copy, request a full export, control optional sponsorships, and request account deletion from Profile → Privacy & your data. Deletion removes active account identifiers, sessions, memberships, account-linked push-device registrations, preferences and consent records. A sole society owner must transfer ownership before deletion can complete. Financial, complaint and audit records may be retained when legitimately required, but the active account identifiers are removed.

You can also request deletion without the app at the Society Platform account deletion page.
